Terms and Conditions

ProVent & Carpet Cleaning Solution

Effective Date: April 1, 2026

By booking, scheduling, purchasing, or receiving services from ProVent & Carpet Cleaning Solution you agree to these Terms and Conditions.

1. Services Covered

ProVent & Carpet Cleaning Solution provides residential and commercial cleaning-related services, which may include:

Air duct cleaning
Dryer vent cleaning
Carpet cleaning
Upholstery cleaning
Tile and grout cleaning
Mattress
Laminate & LVP cleaning
Spot treatment and deodorizing
Other related cleaning services listed in your quote, invoice, work order, or service confirmation

Services will be performed only as specifically described in the final approved estimate, invoice, work order, booking confirmation, or service agreement.

2. Estimates and Pricing

Any price listed on our website, advertisements, social media, text messages, or verbal discussions is an estimate only unless expressly stated otherwise in writing.

Final pricing may change based on:

Actual square footage or number of areas serviced
Condition of carpet, vents, ducts, upholstery, or other surfaces
Degree of staining, odor, buildup, contamination, or obstruction
Accessibility of service areas
Additional treatment requests
Presence of pets, excessive soil, water damage, mold concerns, biohazards, or unsafe conditions
Incorrect or incomplete information provided at the time of booking

A final quote may be confirmed on-site before work begins. No additional paid service will be performed without your approval.

3. Booking and Access

You agree to provide accurate contact information, service address details, and sufficient access to the premises at the scheduled time.

You are responsible for:

Providing safe and timely entry to the property
Securing pets
Removing fragile, valuable, or breakable items from work areas
Ensuring utilities necessary for service are available
Disclosing known issues that may affect service, including water damage, mold, electrical issues, structural instability, pest infestations, or prior damage

If we are unable to access the property or safely perform the service, a trip charge, cancellation fee, or rescheduling fee may apply.

4. Scope of Work

Our obligation is limited to the services specifically listed in your approved work order or invoice.

Unless expressly included in writing, our services do not include:

Moving heavy furniture or large appliances
Repairing carpet, flooring, ducts, vents, HVAC systems, padding, tile, grout, or upholstery
Mold testing, mold remediation, or environmental certification
Mechanical HVAC diagnosis or repair
Electrical, plumbing, or structural work
Guaranteed total stain removal, odor elimination, or restoration of damaged materials
Cleaning inaccessible, unsafe, or non-serviceable areas

Service agreements in this category commonly define exact scope, payment terms, cancellation terms, liability, and dispute provisions to reduce misunderstandings.

5. Customer Preparation Responsibilities

Before our arrival, you agree to:

Remove small items, electronics, cords, toys, plants, and delicate belongings from service areas
Identify any pre-existing damage
Inform us of fragile surfaces, loose seams, unstable furniture, special fabric concerns, or prior repairs
Keep children and pets out of active work areas

If additional preparation is required upon arrival, we may delay, modify, or decline service, and additional charges may apply.

6. Stains, Odors, and Results Disclaimer

Cleaning results vary based on material condition, age, prior treatment, wear, staining source, contamination level, and other factors beyond our control.

We do not guarantee:

Complete stain removal
Complete odor removal
Permanent spot removal
Restoration of worn, faded, bleached, burned, torn, or chemically damaged surfaces
Elimination of all allergens, dust, bacteria, mold, or contaminants
Any particular improvement in air quality or HVAC efficiency unless expressly guaranteed in writing

Some stains, odors, discoloration, traffic lane wear, pet damage, and permanent filtration marks may remain after service.

7. Furniture Moving

Unless otherwise agreed in writing:

We may move light furniture that can be safely handled by one technician
We will not move items that are fragile, electronic, oversized, unstable, antique, or of unusual value
We are not responsible for damage resulting from moving furniture not disclosed as unstable or previously damaged

Furniture that is not moved may result in uncleaned areas.

8. Drying Time and Post-Service Care

Drying times vary depending on humidity, airflow, fabric type, carpet thickness, temperature, and treatment used.

You understand and agree with:

Recently cleaned surfaces may remain damp for several hours
Walking on damp carpet may re-soil fibers
We are not responsible for post-service issues caused by inadequate ventilation, improper footwear, pet contact, furniture staining, or failure to follow aftercare instructions

9. Additional Conditions for Vent and Duct Services

For dryer vent and air duct services:

We do not guarantee that cleaning will correct mechanical HVAC or appliance problems
We do not warrant hidden duct conditions, disconnected lines, crushed ducts, leaks, code violations, inaccessible areas, or pre-existing defects
If we observe visible conditions suggesting damage, obstruction, contamination, or possible mold, we may stop work and recommend further inspection
Any recommendation we make is informational only and is not an engineering, HVAC repair, or environmental certification

10. Payment Terms

Payment is due upon completion of service, unless otherwise stated in writing.

We may accept payment by:

Credit or debit card
Cash
Zelle, ACH, or other approved electronic methods
Business check, if pre-approved

You agree that:

Deposits, if required, may be non-refundable as stated at booking
Late balances may incur a late fee of $25.00
You are responsible for any chargeback, reversal, returned payment, collection, and reasonable enforcement costs to the extent permitted by law

If payment is not made when due, we may suspend future service appointments.

11. Cancellations, Rescheduling, and No-Show Policy

You may cancel or reschedule by providing at least 24 hours’ notice before the appointment time.

If you cancel late, are unavailable, deny access, or the site is not ready for service, we may charge:

A cancellation fee
A lock-out or no-show fee
A trip charge
A deposit forfeiture, if disclosed at booking

If weather, equipment failure, staffing issues, safety concerns, or conditions beyond our control affect service, we may reschedule without liability.

12. Satisfaction and Re-Service Policy

If you are dissatisfied with the quality of service, you must notify us within 48 hrs. after completion.

At our option, we may:

Re-inspect the area
Re-clean the affected area
Offer a partial credit or other reasonable resolution

This re-service policy is your exclusive remedy for dissatisfaction related to cleaning quality, except where prohibited by law.

13. Pre-Existing Conditions and Damage

We are not responsible for loss, damage, or worsening of conditions caused by pre-existing issues, including:

Worn carpet or fiber loss
Loose seams, delamination, buckling, shrinkage, or discoloration
Pet urine damage
Prior water damage
Rust stains, ink stains, dye loss, bleach spots, burns, or chemical residues
Deteriorated ductwork, vent connections, grout, caulking, or upholstery backing
Manufacturer defects or installation defects

If we identify a condition that may create risk of damage, we may decline or limit service.

14. Limitation of Liability

To the maximum extent permitted by applicable law, ProVent & Carpet Cleaning Solution’s total liability for any claim arising out of or relating to our website, booking, estimate, products, or services shall not exceed the amount actually paid by you for the specific service giving rise to the claim.

We shall not be liable for any indirect, incidental, special, exemplary, punitive, or consequential damages, including lost profits, lost business, loss of use, alternative accommodation costs, or claims based on alleged improvement expectations.

Some service-business terms also cap website-related liability or set a fixed fallback amount where no payment was made, though enforceability can vary by context and state law.

15. Disclaimer of Warranties

Except as expressly stated in writing, our services, website, scheduling tools, and related materials are provided on an “as is” and “as available” basis, without warranties of any kind, whether express or implied, to the fullest extent permitted by law.

We disclaim all implied warranties, including:
